From the session recording to a draft you approve
Upload the meeting recording and it comes back as text that knows who said what and when, then drafted into minutes on the template you choose: deliberations, decisions, and action items with their owners and dates. What returns is a draft you review — it does not become a record until a person approves it.
The machine drafts, the human approves. No record becomes official without a human signature.
Transcription accuracy on Arabic dialects has not been measured to a number we would publish, so no number appears here. Attendance and timing are never written by the model at all — they are filled from our own meeting records, so the minutes cannot credit attendance to someone who was not there.

Objections
The hard questions, answered without dodging
These are objections we actually hear. We would rather you read our answer here than discover it after subscribing.
We have group chat and spreadsheets, and they work
Chat is an excellent communication tool and we use it too. The problem is that it is not a memory: you cannot search an old decision, know who owns what, or extract a report. Try one question: what decisions did your team make last month? If the answer needs half an hour of scrolling, you do not have a record — you have a message archive. Diwan does not ask you to leave chat. It asks that what deserves to last moves somewhere it can.
Global tools are cheaper and better known
They are mature and widespread, and we do not ask anyone succeeding with them to switch. But the question is not which tool is stronger. It is: how many times did your weekly meeting end without anything reaching that board? Those tools assume someone will enter tasks by hand, and that is exactly what does not happen. Diwan starts from the meeting itself, in Arabic.
Our data is sensitive — board minutes do not leave our walls
A fair objection. Three things plainly: your data sits on infrastructure the Smart Vision team runs itself, not on a third-party account we resell; our servers today are in Frankfurt, Germany, and we say so plainly, with a dedicated install in a location you require available as a contractual arrangement; and a full export in open formats is a commitment we write into the contract — it is in scope for the first release and has not reached the interface yet.
We have no time to learn a new tool
Agreed, which is why we do not ask you to learn anything — a tool that needs training is a tool that fails. The first use is one step: one meeting, with its agenda and its minutes. No boards to build, no fields to fill. In practice we create your workspace, add your team and prepare the first meeting with you in a session under an hour.
We tried tools before and the team did not stick with them
The most honest objection we hear. The cause is usually not the tool but that it demanded a new habit: everyone logging in daily to update their status. Nobody does that for long. Diwan is built the other way round: the only habit required already exists — you meet. And our measure is written down: after four weeks, if your team is not running its meetings on Diwan without reminders from us, the trial failed and we will say so ourselves.

Tenant isolation enforced by architecture, not by attention
Separation between organisations is not a condition in a query someone can forget. It is seven consecutive layers guarded by automated tests that fail the build if a single row leaks.

Diwan is isolated on the server itself
Diwan has its own system user, its own dedicated process, a database no other application can reach, and a restricted file path. We proved it with a probe: neighbouring application files and server secrets were all blocked from it.

Connection and backup
Every connection to Diwan is encrypted end to end. Backups run daily and are encrypted with a key whose secret half is never on the server — so reaching a backup is not the same as opening it. And the restore has actually been tested, not merely promised.

Questions asked before signing
Does Diwan replace chat apps?
No. Chat is a communication tool, Diwan is a memory. Keep talking where you always have, and let what deserves to last move somewhere it can.
How long does it take to get the team ready?
One session under an hour, and we run it with you. We do not ask you to build boards or structure projects before you start.
What if my team does not stick with it?
That is the most honest question. Tools fail because they demand a new habit; Diwan rides an existing one — you already meet. And if your team is not using it after four weeks, the trial failed and we will tell you.
Does our data leave our country?
Our servers today are in Frankfurt, Germany, and we say so before a contract rather than after. For anyone who requires a specific location we offer a dedicated install on a server there as a contractual arrangement — not a switch in the interface.
Can we export our data if we cancel?
Yes. A full export of minutes, tasks and files in open formats is a core commitment, is in scope for the first release, and is included in every plan including the free one.
Do you support English?
Fully, with an interface that follows the direction of each language. Arabic is not a later translation here — it is the basis of the design.
How accurate are the automatic minutes?
Transcription and drafting both work today. The accuracy figure on Arabic dialects is not something we have measured to a number we would publish, and we do not print a number we do not hold — anyone publishing one without a measurement is selling a promise. The design is fixed whatever the number turns out to be: the draft is generated automatically, and a person reviews and approves it before it becomes an official record.
What exactly works today?
Meetings, agendas, minutes, the decision log, tasks, archive and permissions — and with them recording transcription, minutes drafting on templates, and action-item extraction. That is the scope of the first release, and Diwan today is in its founding-customer stage.
