About the product
Does Diwan replace chat apps?
No. Chat is a communication tool, Diwan is a memory. Keep talking where you always have, and let what deserves to last move somewhere it can.
How long does it take to get the team ready?
One session under an hour, and we run it with you. We do not ask you to build boards or structure projects before you start.
What if my team does not stick with it?
That is the most honest question. Tools fail because they demand a new habit; Diwan rides an existing one — you already meet. And if your team is not using it after four weeks, the trial failed and we will tell you.
Does our data leave our country?
Our servers today are in Frankfurt, Germany, and we say so before a contract rather than after. For anyone who requires a specific location we offer a dedicated install on a server there as a contractual arrangement — not a switch in the interface.
Can we export our data if we cancel?
Yes. A full export of minutes, tasks and files in open formats is a core commitment, is in scope for the first release, and is included in every plan including the free one.
Do you support English?
Fully, with an interface that follows the direction of each language. Arabic is not a later translation here — it is the basis of the design.
How accurate are the automatic minutes?
Transcription and drafting both work today. The accuracy figure on Arabic dialects is not something we have measured to a number we would publish, and we do not print a number we do not hold — anyone publishing one without a measurement is selling a promise. The design is fixed whatever the number turns out to be: the draft is generated automatically, and a person reviews and approves it before it becomes an official record.
What exactly works today?
Meetings, agendas, minutes, the decision log, tasks, archive and permissions — and with them recording transcription, minutes drafting on templates, and action-item extraction. That is the scope of the first release, and Diwan today is in its founding-customer stage.

Does Diwan replace chat apps?
No. Chat is a communication tool; Diwan is memory. Keep communicating where you are used to, and let whatever deserves to last move somewhere it will.
Do we need to set anything up or restructure before we start?
No. No boards to build, no projects to restructure, no fields to fill. You start from a habit you already practise — you already hold meetings — and one setup session under an hour is enough.
Does Diwan work on mobile?
Yes, the interface works in a mobile browser with nothing to install. And the "My day" board was built from the start to be read in a minute on a small screen.
Does it integrate with Google Calendar?
Yes, a per-organisation connection puts your meetings in your calendar. And ics export works with every other calendar without any connection at all.
About meetings
Is there a cap on meetings?
No, on every plan including the free one. Their marginal cost to us is zero unless they are transcribed, and a tool that charges you by the number of meetings you hold pushes you into not documenting some of them.
Where is the recording stored, and who can reach it?
On our servers, outside any public path. It leaves only for the transcription service, over a temporary link that is revoked the moment the job finishes. It is deleted automatically a month after transcription and its text remains, and you may delete it at any time.
Can we invite people from outside the organisation?
Yes, as guests: they receive the time and the link, have no account, and take no seat on your plan.
What happens to action items in the minutes?
They cross into the task board with a named owner, a date and a status, and stay linked to their minutes. They can also be extracted automatically from the text of the minutes for you to review before you accept them.
About tasks
Can we use tasks without meetings?
Yes, they work perfectly well on their own. But what most distinguishes them is their link to the minutes they were born in, and that starts at the meeting.
Is there a limit on the number of tasks?
No. What is limited is the number of committees and projects on the free plan alone, and the number of active users. Tasks themselves have no cap on any plan.
Do notifications arrive for every event?
No. A notification for what concerns you — an assignment to you or a mention of your name — and an email digest for the rest. Flooding people with notifications trains them to ignore notifications.

Where are our files stored?
Our servers are in Frankfurt, Germany today, and we say so before signing rather than after. For anyone who requires a specific location we provide a dedicated install on a server there under a contractual arrangement.
How much space do we get?
It varies by plan, and every figure is written in the comparison table on the pricing page — read from the limit the product itself enforces rather than from a marketing number.
What happens when the space fills up?
The warning reaches you before the limit, not after, and new uploads stop being accepted. Nothing you already uploaded is deleted and your organisation is not closed.
About security
Can your staff see our data?
Nobody here opens your organisation's data except through a support session that you request and approve, which expires, and which is logged with who opened it and why. The identity of whoever entered is shown to you prominently, not hidden.
Is our data encrypted?
Transport is encrypted, and backups are encrypted with a key whose secret half is not on the server. Per-organisation encryption keys are not built today and we do not claim them.
What happens to our data if we end the subscription?
You export all of it in open formats, included on every plan. Your data is not deleted the moment the subscription ends — it remains for a stated period during which you can retrieve it.
Can you install Diwan on our own server?
Yes, for organisations that require it, under a contractual arrangement priced case by case. It is a clause in the contract, not a button in the interface.
About pricing
Is the free plan a trial that expires?
No. It is a permanent plan with the limits written in the table above, and it stays open for as long as your organisation does. Whoever needs more upgrades when they need to.
What happens when we reach our plan's limit?
You see the warning before the limit, not after. Whatever reached its limit stops accepting more; nothing is deleted and your organisation is not closed. Upgrading lifts the limit immediately.
Can we change plans at any time?
Yes, up and down. Renewal counts from the later of the two dates so that days you already paid for are never swallowed, and moving down does not delete your data — it returns the limits to your new plan.
Can we export our data if we end the subscription?
Yes. A full export of minutes, tasks and files in open formats is a core commitment and is included on every plan, the free one included.
What currency are the prices in, and do they include tax?
Prices are shown in Saudi riyals and exclude value-added tax. Tax is added on the invoice where it is due, shown with both its rate and its amount.
