Arabic meeting management software: what it must actually do

Most of what is sold as "meeting management software" is a calendar with a room booking, or a task tool with the word "meeting" added. This page states what makes such a tool genuinely useful three months in — whether you choose Diwan or anything else.

Five things that separate a tool that gets used from one that gets abandoned

  • 1 — Minutes inside the tool

    If the minutes are a file uploaded to it, you have solved nothing: the latest version will still sit in one person's inbox.

  • 2 — Discussion, decision and action item kept apart

    Blurring them is what makes minutes impossible to follow up. A decision must read on its own, and an item must have an owner.

  • 3 — The action item becomes a task

    An item that stays a line in a document does not get done. It has to cross into a list with dates, reminders and a status.

  • 4 — A searchable decision log

    A year later someone asks what was decided about this. The answer must not be "read twenty sets of minutes".

  • 5 — Arabic by origin, not adjusted

    Correct direction, search that understands hamza and taa marbuta, and times shown with their reference.

And three things that get marketed hard and change nothing

  • Transcription with no review

    Raw text from a recording is not minutes. An official document needs an owner who reviews and approves — otherwise it is responsibility with nobody attached.

  • Integrations by the dozen

    The count sells; the used ones number one or two. Ask about the integration you actually need, not about the total.

  • AI with no number attached

    Any tool claiming Arabic accuracy without a published measurement on real dialects is selling a promise. Ask for the number or ignore the claim.

The first five are built today and can be inspected in a single session. Transcription is now built too — but on the condition listed above: it does not emit raw text called minutes; it is drafted into a document an owner reviews and approves. Its accuracy on dialects has not been measured and we publish no number for it — which is exactly what we ask you to demand of every vendor, ourselves first.

And we are not the right choice for every case: anyone whose work starts from a ticket rather than a meeting, or who needs branching automation, is better served by a global task tool. We say so in the first session, not after the subscription.

Common questions

What is the difference between a meetings tool and a task tool?

A task tool starts from the work to be done; a meetings tool starts from the session that produced it. The practical difference: does the task know where it came from?

Do we need a tool at all, or is a Word file enough?

A file is enough for one committee meeting monthly. By the third committee, tracking becomes work in itself — and that is when a tool costs less than the time lost.
