Ready-made templates
Meeting templates you can download right now — no sign-up, no email
Most meeting templates in circulation are forms: fields to fill in that nobody reads afterwards, and one missing field that loses an entire commitment. These four were written from what we actually see break meetings — download them and use them even if you never touch Diwan.
Each template downloads as Word to fill in and PDF to print. And what you see on this page is exactly what lands in the file.
Templates
-
Meeting minutes template
From attendance to approval, with an explicit separation between discussion, decision and action item — the very blur that makes minutes impossible to follow up.
-
Meeting agenda template
Every item declares its type: for information, for discussion, or for decision. An item whose type is unknown consumes twice its time.
-
Decision log template
Decisions readable a year later without opening the minutes, with a stated basis, an explicit status, and numbering that is never reused.
-
Action items template
One named owner and a real due date — plus an overdue section where the reason is written down, not the blame.
Why these templates are different
A template is not a sheet with fields; it is a decision about what gets written and what does not. The three things we most often see break minutes: blurring discussion into decision, so nobody knows what was actually committed to · an action item with no named owner, so nobody does it · and a deadline written as a phrase rather than a date, so it expires unnoticed.
So these templates separate the three explicitly, the owner field asks for a name rather than a department, and the due date is a date. They are irritating constraints the first time and useful by the fourth, when someone asks: what was decided, who is doing it, and by when.
And when the sheet runs out
A template solves the single session and nothing after it: a Word file lives in one person's inbox, answers no question about where an item got to, reminds nobody of a deadline, and cannot be found by whoever joins a year later.
That is what Diwan was built for: the item written in the minutes becomes a task with an owner, a date and a status, and stays linked to its minutes. Use the template today; if it runs out on you, the next step is known.
Questions about the templates
Is the download really free with no email?
Yes. You click and the file downloads — no sign-up, no email, no pop-up. If we asked for your email in exchange for a sheet of paper, the sheet would be bait rather than help.
Can I edit the template and reuse it?
Yes, the Word file is fully editable. Put your organisation's name and logo on it and keep your own copy.
Why is the Arabic template different from the English one?
Because the ordering of sections in minutes is a convention, not a translation. Each template was written to its own language's convention rather than translated literally into a sheet nobody uses.
Does the template work with Google Docs?
Yes, upload the Word file to Google Docs and it opens with its tables and direction intact.
The template is a start; memory is the problem
